Privacy Policy
Our approach to data protection and your rights.
Who we are
This policy explains how [REGISTERED COMPANY NAME], trading as BalanceIQ, uses personal information collected through this website. We are the controller of that information, which means we decide how and why it is used.
Company number: [COMPANY NUMBER]. Address: [STREET ADDRESS], [TOWN], [POSTCODE]. ICO registration number: [ICO REGISTRATION NO]. You can reach us at [EMAIL].
What we collect
We only collect personal information when you choose to send it to us. This website has no accounts, no payments and no tracking tools.
- Contact form: your name, email address, phone number (optional), the type of client you are, the service and plan you are interested in, how you would like us to reply, your message, and your tick confirming you agree to this policy.
- Added automatically when you send the form: the page address you sent it from, the date and time, and a random reference number for that message. A hidden field that people never see is also checked, to help us spot automated spam.
- Verification check: when the spam check is switched on, Cloudflare Turnstile gives your browser a one-time token that we send with your message so it can be checked.
- Email, phone and WhatsApp: if you contact us directly, we receive whatever you send, including your email address or phone number.
How we use it
We use your information to read your message, reply to you, discuss whether we can help, and keep a record of the conversation. We also use technical details to protect the website from spam and misuse.
We do not use your enquiry for marketing unless you ask us to, and we do not sell your information.
Why we are allowed to use it
UK data protection law requires us to have a legal reason (a lawful basis) for using personal information. For website enquiries we rely on:
- Your consent, which you give by ticking the box on the contact form. You can withdraw it at any time.
- Taking steps at your request before a contract, where you ask about becoming a client.
- Our legitimate interests in running a secure website and answering enquiries, where these are not outweighed by your rights.
Who receives it
We use a small number of providers to run this website. They handle information only so that the service works.
Contact form messages are sent to a Google Sheet through Google Apps Script, which Google provides. We read and reply to them from there.
The website is hosted on Cloudflare Pages. Like most web hosts, Cloudflare receives technical details such as your IP address and browser type when you visit. When the spam check is on, Cloudflare Turnstile also runs in your browser.
If you choose to message us on WhatsApp, WhatsApp (Meta) handles that conversation under its own terms and privacy policy.
These providers may process information outside the UK. Where that happens we rely on: [INTERNATIONAL TRANSFER SAFEGUARDS].
What we do not do
This website does not use analytics, advertising or social media tracking. It does not make decisions about you using automated tools. If that changes we will update this policy first.
How long we keep it
We keep enquiries that do not lead to us working together for [ENQUIRY RETENTION PERIOD], then delete them.
If you become a client, we keep your records for as long as our engagement terms and the law require. We will tell you more in our engagement letter.
Keeping it secure
This website is served over HTTPS, so information you send is encrypted on its way to us. We limit access to enquiries to the people who need them to reply. [SECURITY MEASURES TO BE CONFIRMED]
Your rights
You have the right to ask us for a copy of your information, to have mistakes corrected, to have your information deleted, to limit or object to how we use it, and to receive it in a portable format. These rights have some exceptions, which we will explain if they apply.
To use any of these rights, or to withdraw your consent, email [EMAIL].
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Links to other sites
This website links to other services, such as WhatsApp, Google Maps and LinkedIn. They have their own privacy policies and we are not responsible for how they use information.
Changes to this policy
We will update this page when our practices change. The date at the top shows when it was last updated.
